Cancellation & Refund Policy

Trinity Veda Wellness LLC understands that schedules change and that unexpected circumstances may arise.

This Cancellation & Refund Policy explains the requirements for cancellations, rescheduling, missed appointments, refunds, program withdrawals, and other changes involving paid services offered by Trinity Veda Wellness.

By scheduling, registering for, or purchasing a Trinity Veda Wellness service, class, consultation, workshop, program, package, or other offering, you acknowledge and agree to the applicable cancellation and refund terms described below.

Specific programs, workshops, packages, memberships, or special events may have additional terms disclosed during registration. When a specific registration agreement contains different cancellation or refund terms, the terms presented for that particular offering will apply.

1. General 48-Hour Cancellation Policy

Unless a different policy is clearly stated during registration, cancellations or rescheduling requests must be received at least 48 hours before the scheduled start time of the appointment, class, workshop, or service.

For example:

If an appointment is scheduled for Thursday at 2:00 p.m., the cancellation request must be received no later than Tuesday at 2:00 p.m.

The 48-hour period is measured from the scheduled starting time of the service.

2. Cancellations Made At Least 48 Hours in Advance

When an eligible service is canceled at least 48 hours before its scheduled start time, the purchaser may request either:

  • A transfer or rescheduling of the payment to another eligible date or service, when available; or

  • A 90% refund of the amount paid, with 10% retained for administrative and transaction-related costs.

Any third-party transaction or processing charges that are expressly nonrefundable may also be excluded from the refund where applicable and permitted by law.

Refund eligibility may differ for multi-session programs, packages, memberships, digital materials, ESA-funded purchases, or offerings with specifically disclosed registration terms.

3. Cancellations Less Than 48 Hours Before Service

Cancellations received less than 48 hours before the scheduled starting time are considered late cancellations.

Unless otherwise stated or an exception is approved by Trinity Veda Wellness:

  • The payment is nonrefundable;

  • The session, class, or appointment may be considered used;

  • A class credit may be forfeited; and

  • Trinity Veda Wellness is not required to issue a replacement session or account credit.

When circumstances warrant, Trinity Veda Wellness may choose to provide a one-time rescheduling credit at its discretion.

Providing an exception on one occasion does not change this policy or require an exception in the future.

4. No-Shows

A participant is considered a no-show when the participant:

  • Does not attend a scheduled appointment, consultation, private yoga session, class, workshop, or program session;

  • Does not cancel beforehand; or

  • Joins so late that the scheduled service can no longer reasonably be provided.

No-shows are nonrefundable.

The payment, class credit, or scheduled session will generally be considered used.

5. Late Arrivals

Participants are encouraged to arrive or log in on time.

For private appointments or consultations, arriving late does not extend the scheduled ending time.

The session will ordinarily end at the originally scheduled time so that subsequent appointments are not affected.

If a participant arrives too late for a service to be safely or reasonably provided, the appointment may be treated as a late cancellation or no-show.

Group classes and youth programs may restrict entry after a particular point when late participation would be disruptive or unsafe.

6. Private Consultations

Ayurveda and wellness education consultations canceled or rescheduled at least 48 hours in advance are eligible for the cancellation options described in this policy.

Cancellations with less than 48 hours' notice and missed appointments are generally nonrefundable.

If preparation, assessment, document review, or individualized educational materials have already been substantially completed before cancellation, Trinity Veda Wellness may deduct the reasonable value of work already performed from any otherwise eligible refund.

Any such deduction will be handled consistently with the terms disclosed for the particular service.

7. Private Yoga Sessions

Private yoga sessions require at least 48 hours' notice for cancellation or rescheduling.

Eligible cancellations made at least 48 hours in advance may be rescheduled or refunded according to this policy.

Late cancellations and no-shows are generally nonrefundable.

8. Group Yoga Classes

Individual group-class registrations may be transferred to another available class when:

  • The cancellation is received at least 48 hours before class;

  • Space is available in the replacement class; and

  • The applicable class pass or registration remains valid.

A participant who cancels with less than 48 hours' notice or does not attend may forfeit the class or class credit.

Any expiration dates associated with class packages remain applicable unless otherwise stated.

9. Workshops and Special Events

Workshops and special events often involve advance planning, supplies, facility expenses, instructor preparation, or limited enrollment.

Unless different terms are disclosed during registration:

48 hours or more before the event:
The participant may receive a 90% refund or transfer the eligible amount to another offering when a transfer is available.

Less than 48 hours before the event:
Registration is generally nonrefundable.

If Trinity Veda Wellness has already purchased nonrefundable materials specifically for the participant, those costs may be deducted from an otherwise eligible refund when disclosed or otherwise permitted.

10. Multi-Week Programs and Courses

Multi-week educational programs require significant advance planning and may reserve a participant's space for an extended period.

Cancellation before the program begins and at least 48 hours before the first scheduled session may qualify for a partial refund under this policy unless different registration terms are disclosed.

Once a program has begun, refunds are generally based on the portion of the program that has not yet been provided, less:

  • Services already delivered;

  • Educational materials already provided;

  • Digital content already accessed or delivered;

  • Nonrefundable supplies purchased for the participant;

  • Applicable administrative costs; and

  • Other clearly disclosed nonrefundable costs.

A participant's decision to stop attending does not automatically cancel an enrollment or create a right to a full refund.

Specific multi-week programs may have their own withdrawal and refund schedule. Those terms will be presented before registration when applicable.

11. Class Passes and Packages

Class passes, appointment packages, or similar prepaid packages are subject to any expiration dates and usage terms disclosed at purchase.

Individual unused sessions within a package may generally be rescheduled when appropriate notice is provided.

Once part of a package has been used, any approved refund may be recalculated based upon:

  • Services already received;

  • The regular individual price of services already used;

  • Applicable administrative costs; and

  • Any other nonrefundable items disclosed at purchase.

Promotional, discounted, scholarship, complimentary, or bonus sessions may have no cash refund value.

12. Memberships and Recurring Plans

If Trinity Veda Wellness offers memberships or recurring payment plans, the specific membership terms presented at enrollment will govern cancellation of future recurring charges.

Canceling a membership does not automatically create a refund for services, classes, or membership periods already provided.

Any automatic-renewal terms, cancellation requirements, and future billing dates will be disclosed through the applicable enrollment process.

13. Digital Materials and Downloadable Content

Digital products, downloadable educational materials, recordings, electronic workbooks, online resources, or other immediately accessible digital content are generally nonrefundable after access or delivery, except when otherwise required by law.

If a digital item cannot be accessed because of a technical problem attributable to Trinity Veda Wellness, we will first make reasonable efforts to correct the access problem or provide a replacement copy.

14. Arizona ESA / ClassWallet Payments

Some eligible Trinity Veda Wellness educational services may be purchased using Arizona Empowerment Scholarship Account funds through ClassWallet or another approved payment method.

ESA-funded purchases remain subject to:

  • Arizona Department of Education ESA requirements;

  • ClassWallet requirements;

  • Applicable program rules; and

  • Trinity Veda Wellness's cancellation policies.

Refunds involving ESA funds will be returned through the appropriate ESA or ClassWallet process when required and will not be issued directly to the parent or participant as cash or personal reimbursement when the original payment was made with ESA funds.

Trinity Veda Wellness cannot convert ESA funds into cash, personal credit, or another form of payment for the purchaser.

Eligibility for an ESA refund, credit, transfer, or payment adjustment may also depend upon current Arizona ESA and ClassWallet requirements.

Parents and guardians remain responsible for ensuring that purchases comply with applicable ESA rules.

15. Youth Programs

For programs involving children, tweens, or teenagers, cancellation requests must generally be submitted by the parent or legal guardian who completed or authorized the registration.

The same 48-hour cancellation requirement applies unless separate youth-program terms are provided.

Failure to complete required parental consent forms, waivers, or registration documents by a program deadline may result in the participant being unable to attend.

Refund eligibility in that circumstance will depend upon the timing of the withdrawal and whether Trinity Veda Wellness has already incurred nonrefundable expenses.

16. Illness

Participants who are ill should not attend an in-person class or appointment when doing so could reasonably expose others to illness or make participation unsafe.

The standard 48-hour cancellation policy generally applies.

Trinity Veda Wellness understands that sudden illness can occur. When an unexpected illness arises within the 48-hour period, Trinity Veda Wellness may, at its discretion, allow the payment to be transferred once to another eligible session rather than forfeited.

A refund is not guaranteed for a late illness cancellation.

17. Emergencies and Exceptional Circumstances

Trinity Veda Wellness recognizes that serious unexpected circumstances may occasionally make timely cancellation impossible.

Examples may include:

  • Medical emergencies

  • Family emergencies

  • Accidents

  • Hospitalization

  • Bereavement

  • Severe weather or hazardous travel conditions

  • Other extraordinary circumstances

Trinity Veda Wellness may make reasonable exceptions to the standard policy on a case-by-case basis.

Documentation may be requested when appropriate, but participants should not submit detailed confidential medical records unless specifically necessary.

An exception granted in one circumstance does not create an obligation to provide the same exception in other situations.

18. Cancellation by Trinity Veda Wellness

Occasionally, Trinity Veda Wellness may need to cancel or reschedule a consultation, class, workshop, program, or event because of:

  • Illness

  • Emergency

  • Instructor availability

  • Insufficient enrollment

  • Facility problems

  • Technology failures

  • Severe weather

  • Safety concerns

  • Circumstances beyond reasonable control

When Trinity Veda Wellness cancels a service entirely and does not provide an appropriate replacement, participants will generally be offered:

  • A full refund of the amount paid for the canceled service; or

  • The option to transfer the full amount paid to another eligible service.

The 10% administrative deduction does not apply when Trinity Veda Wellness cancels the service.

If a service is rescheduled, participants will be provided information about the replacement date and available options.

19. Technology Problems for Virtual Services

Participants are responsible for maintaining appropriate internet access, devices, software, and technology needed to attend virtual services.

A participant's internet outage, device problem, forgotten login, or other participant-side technical problem ordinarily does not qualify for a refund.

When a virtual session cannot reasonably be provided because of a technology failure attributable to Trinity Veda Wellness or its primary service platform, we may reschedule the service or provide an appropriate credit or refund.

20. Weather and Safety

For in-person activities, Trinity Veda Wellness may cancel, delay, move online, or reschedule a service when weather, transportation conditions, facility conditions, or another safety concern makes proceeding unreasonable.

Participants will be notified using the contact information associated with their registration when practicable.

Refund or rescheduling options will depend upon whether the event is canceled, postponed, moved, or otherwise modified.

21. Transfers to Another Participant

Registrations may not be transferred to another person without approval from Trinity Veda Wellness.

This is especially important for youth programs and services requiring:

  • Intake information

  • Informed consent

  • Liability waivers

  • Parent or guardian authorization

  • Health or participation screening

  • Individual preparation

Contact Trinity Veda Wellness before attempting to transfer a registration.

22. Promotional and Discounted Purchases

Promotional discounts, introductory offers, scholarships, complimentary registrations, giveaway prizes, or other specially priced services may be subject to separate terms.

The refund value of a discounted package may be calculated based upon the actual amount paid rather than the standard advertised price.

Complimentary services have no cash refund value.

23. Refund Processing

Approved refunds will ordinarily be returned through the original method of payment whenever possible.

The amount of time required for a refund to appear after it has been processed may depend upon the payment processor, financial institution, ClassWallet, or other third-party service involved.

Trinity Veda Wellness does not control bank or third-party processing times.

24. Payment Processing Fees

When permitted by applicable requirements and clearly disclosed, transaction or processing fees that are not returned to Trinity Veda Wellness by a payment processor may be excluded from an otherwise eligible refund.

Trinity Veda Wellness will not charge an undisclosed cancellation or processing fee.

25. Chargebacks and Payment Disputes

Participants are encouraged to contact Trinity Veda Wellness through the website Contact form regarding a billing concern before initiating a payment dispute or chargeback.

Nothing in this policy prevents a consumer from exercising rights available through their financial institution, payment provider, ESA program, or applicable law.

Knowingly submitting false information in connection with a payment dispute may result in suspension of future services where permitted.

26. Failure to Attend Does Not Constitute Cancellation

Simply failing to attend a scheduled service does not constitute a cancellation.

Cancellation requests should be submitted through the designated scheduling platform or other method provided by Trinity Veda Wellness.

Participants are responsible for verifying that a cancellation or rescheduling request has been successfully submitted.

27. Refund Requests

Refund requests should include sufficient information to identify the applicable registration or transaction.

For privacy and security, please do not include sensitive medical information in a general website contact form.

Refund requests may be submitted through the appropriate Practice Better communication system when applicable or through the Trinity Veda Wellness website Contact form for general administrative matters.

28. Policy Exceptions

Trinity Veda Wellness reserves the right to make reasonable exceptions to this policy when circumstances warrant.

An exception does not:

  • Modify this policy permanently;

  • Establish a precedent;

  • Guarantee future exceptions; or

  • Waive other applicable registration terms.

29. Changes to This Policy

Trinity Veda Wellness may update this Cancellation & Refund Policy as services, programs, payment systems, or business requirements change.

The policy applicable to a purchase will generally be the policy or specific registration terms presented at the time of purchase, subject to applicable law.

The effective date at the top of this page identifies the current version.
