Youth Programs Policy

Trinity Veda Wellness LLC is committed to providing educational, respectful, age-appropriate, and supportive experiences for children, tweens, and teenagers participating in our youth programs.

This Youth Programs Policy applies to youth classes, workshops, educational programs, yoga classes, wellness programs, virtual offerings, special events, and other services specifically designated for minors.

For purposes of this policy, a youth participant is an individual under 18 years of age.

A parent or guardian means a parent, legal guardian, or other adult who is legally authorized to make decisions for the youth participant.

1. Educational Nature of Youth Programs

Trinity Veda Wellness youth programs are designed for educational and general wellness purposes.

Programs may include age-appropriate instruction relating to:

  • Yoga

  • Movement

  • Flexibility

  • Strength

  • Balance

  • Body awareness

  • Relaxation

  • Mindfulness

  • Breathing practices

  • Healthy daily routines

  • Ayurveda education

  • Seasonal wellness

  • Nutrition and food education

  • Self-care

  • Stress-management skills

  • Confidence

  • Healthy lifestyle habits

  • General wellness education

Youth programs are not medical, psychological, psychiatric, physical therapy, occupational therapy, or other licensed healthcare services.

Participation does not create a healthcare provider-patient relationship.

2. Parent or Guardian Authorization

A parent or legal guardian must complete or authorize registration for a minor when required by Trinity Veda Wellness.

Youth participation may require completion of documents including:

  • Parent or Guardian Consent

  • Liability Waiver and Release

  • Youth intake information

  • Emergency contact information

  • Relevant health and participation information

  • Media consent or refusal

  • Virtual participation consent

  • Financial and cancellation agreements

  • Program-specific acknowledgments

A youth participant may not attend a program when required consent or registration documents have not been completed.

3. Accuracy of Information

Parents and guardians are responsible for providing accurate and reasonably complete information when registering a youth participant.

Relevant information may include:

  • Allergies

  • Asthma

  • Physical limitations

  • Injuries

  • Medical conditions affecting participation

  • Sensory needs

  • Developmental or behavioral considerations relevant to safe participation

  • Emergency information

  • Medications relevant to an emergency

  • Other information reasonably necessary for safe program participation

Parents and guardians should update Trinity Veda Wellness when information relevant to participation materially changes.

4. Medical and Health Considerations

Trinity Veda Wellness does not diagnose or treat medical conditions through its youth programs.

Parents and guardians are responsible for determining whether participation is appropriate for their child.

When a child has a medical condition, injury, recent surgery, significant physical limitation, or other health concern, the parent or guardian should consult an appropriately qualified healthcare professional before participation when appropriate.

Trinity Veda Wellness may request reasonable clarification regarding participation restrictions when necessary for safety.

5. Allergies and Medical Conditions

Parents and guardians must notify Trinity Veda Wellness of known allergies or medical concerns that could reasonably affect participation.

Trinity Veda Wellness cannot guarantee that every program location, facility, participant, or third-party venue will be completely free of particular allergens.

Parents and guardians remain responsible for providing any permitted emergency medication or supplies required for their child unless another arrangement has been expressly made.

Trinity Veda Wellness staff do not administer prescription or over-the-counter medication unless expressly authorized, legally permitted, and specifically arranged in advance.

6. Emergencies

Parents and guardians must provide current emergency contact information.

If a youth participant appears to require urgent medical attention and a parent or guardian cannot immediately be reached, Trinity Veda Wellness may contact emergency medical services when reasonably necessary.

Any emergency assistance provided will be based upon the circumstances reasonably apparent at the time.

Parents and guardians remain responsible for medical decisions, expenses, and follow-up care for their child.

7. Yoga and Physical Activity

Youth yoga and movement activities involve physical participation.

Potential risks may include:

  • Muscle soreness

  • Strains

  • Sprains

  • Falls

  • Loss of balance

  • Joint discomfort

  • Dizziness

  • Aggravation of an existing injury

  • Other physical injury

Youth participants are encouraged to work within their individual abilities and are not required to perform a pose or activity that causes pain or feels unsafe.

Instructors may offer modifications or alternative activities when appropriate.

A separate liability waiver may be required before participation.

8. No Forced Physical Participation

Trinity Veda Wellness seeks to create a supportive learning environment.

Youth participants will not be forced to perform a yoga posture, movement, breathing exercise, mindfulness activity, or other wellness practice when they indicate that they are uncomfortable participating.

An appropriate alternative may be offered when reasonably possible.

Safety instructions, however, must still be followed.

9. Physical Contact and Yoga Adjustments

Physical assistance or hands-on yoga adjustments involving minors will be approached conservatively.

When physical guidance is appropriate, instructors will seek to use clear communication and age-appropriate practices.

Whenever reasonably possible, verbal instruction, demonstration, or non-contact guidance will be used before hands-on assistance.

A participant may decline nonessential physical contact.

Parents and guardians may also communicate that they do not want their child to receive hands-on yoga adjustments.

Emergency or immediate safety situations may require appropriate physical intervention to prevent injury.

10. Respectful Environment

Trinity Veda Wellness expects youth programs to remain respectful, supportive, and inclusive.

Participants are expected to:

  • Treat instructors and other participants respectfully

  • Respect personal boundaries

  • Follow reasonable safety instructions

  • Use appropriate language

  • Allow others to participate without harassment

  • Respect property and equipment

  • Avoid intentionally disruptive behavior

  • Follow age-appropriate program expectations

Bullying, intimidation, threats, harassment, deliberate exclusion, physical aggression, or repeated disruptive conduct may result in intervention or removal from a program.

11. Bullying and Harassment

Trinity Veda Wellness does not knowingly permit bullying or harassment within its youth programs.

Concerns involving:

  • Bullying

  • Threatening conduct

  • Sexual harassment

  • Discrimination

  • Physical aggression

  • Repeated intimidation

  • Inappropriate online behavior associated with a Trinity Veda Wellness program

should be reported to Trinity Veda Wellness as soon as reasonably possible.

Reports will be reviewed based on the circumstances and available information.

12. Participant Boundaries

Youth participants are expected to respect the physical, emotional, and personal boundaries of others.

Participants should not:

  • Touch another participant without appropriate permission

  • Take another participant's belongings

  • Pressure others to participate in activities

  • Photograph or record another participant without authorization

  • Share another participant's private information

  • Engage in sexualized, threatening, or abusive behavior

Age-appropriate instruction about respectful boundaries may be incorporated into program expectations.

13. Behavior and Safety Intervention

Trinity Veda Wellness may intervene when a participant's behavior:

  • Creates a safety concern

  • Prevents instruction from continuing

  • Repeatedly disrupts the program

  • Threatens another participant

  • Damages property

  • Violates another participant's boundaries

  • Violates program rules

Interventions may include:

  • Verbal redirection

  • A brief break from an activity

  • Contacting a parent or guardian

  • Requiring early pickup

  • Temporary suspension

  • Removal from a program

Whenever reasonably possible, Trinity Veda Wellness will seek to address concerns in a developmentally appropriate and respectful manner.

14. Neurodiversity and Individual Needs

Trinity Veda Wellness recognizes that children and teenagers may have different learning styles, communication styles, sensory needs, physical abilities, attention needs, and developmental differences.

Parents and guardians are encouraged to provide relevant information that may help instructors support successful participation.

Reasonable adjustments may be considered when practicable and when they do not fundamentally change the program or create a safety concern.

Examples may include:

  • Offering additional verbal directions

  • Allowing reasonable movement breaks

  • Providing visual instructions

  • Allowing a participant to observe before joining

  • Offering quieter positioning in the class

  • Modifying physical activities

  • Providing additional transition time when feasible

Trinity Veda Wellness does not require families to disclose a diagnosis simply to request a reasonable participation support.

15. Parent Presence and Supervision

Parent or guardian presence requirements may vary according to:

  • Participant age

  • Program type

  • Location

  • Facility rules

  • Individual participation needs

  • Whether the program is virtual or in person

Program registration information will identify when a parent or guardian must remain present.

Parents should not assume that every Trinity Veda Wellness youth program provides childcare or drop-off supervision.

16. Youth Programs Are Not Childcare

Unless a particular program expressly states otherwise, Trinity Veda Wellness youth programs are educational programs and are not childcare, daycare, babysitting, or custodial-care services.

Parents and guardians remain responsible for complying with stated:

  • Drop-off times

  • Pickup times

  • Supervision requirements

  • Facility rules

  • Emergency procedures

A youth participant should not be left unattended before or after a program unless Trinity Veda Wellness has expressly indicated that supervised drop-off participation is permitted.

17. Drop-Off Procedures

When drop-off participation is permitted, the parent or guardian is responsible for ensuring that the participant has been properly checked in before leaving.

Children should not simply be dropped outside a building, parking area, facility, or meeting location.

The participant becomes part of the supervised program only after completing the applicable arrival or check-in process.

18. Pickup and Release of Minors

Parents and guardians must pick up youth participants promptly when pickup is required.

When applicable, Trinity Veda Wellness may request information identifying adults authorized to pick up a youth participant.

A child will not knowingly be released to an individual who is not authorized when an authorized-pickup system is being used.

Identification may be requested when appropriate.

Parents should inform Trinity Veda Wellness in advance of relevant custody or pickup restrictions that affect program participation.

Trinity Veda Wellness cannot independently resolve family custody disputes and may request appropriate documentation when necessary.

19. Late Pickup

Parents and guardians are expected to pick up youth participants at the scheduled ending time.

Repeated or substantially late pickup may affect continued eligibility for drop-off participation.

When a parent or guardian cannot be reached after a program concludes, Trinity Veda Wellness will make reasonable efforts to contact listed emergency contacts.

If a child remains unclaimed for an extended period and responsible adults cannot be reached, Trinity Veda Wellness may contact appropriate authorities when reasonably necessary for the child's safety.

20. Restroom Needs

Parents and guardians should consider whether their child can independently manage restroom needs when registering for a drop-off program.

Trinity Veda Wellness staff generally do not provide toileting assistance or personal-care services.

Parents should communicate relevant accessibility needs before participation so that reasonable options can be discussed when possible.

21. Food and Beverages

Program descriptions will identify when participants should bring water, snacks, meals, or other items.

Parents and guardians are responsible for considering their child's allergies and dietary needs.

Participants should not share food with other youth participants unless specifically permitted.

Trinity Veda Wellness may establish food restrictions for a particular program when needed for safety or facility requirements.

22. Clothing and Equipment

Participants should wear clothing appropriate for the activity and follow program-specific equipment requirements.

Depending on the program, participants may be asked to bring items such as:

  • Yoga mat

  • Water bottle

  • Comfortable clothing

  • Appropriate footwear

  • Educational materials

  • Other identified supplies

Parents and guardians are responsible for ensuring that personal equipment is reasonably safe and appropriate for use.

23. Personal Property

Participants are responsible for their personal belongings.

Trinity Veda Wellness is not responsible for lost, misplaced, damaged, or stolen personal property except where responsibility is imposed by applicable law.

Valuable or unnecessary personal items should generally be left at home.

24. Electronic Devices

Phones, tablets, smart watches, gaming devices, and other electronics may be limited during instructional time.

Participants may be asked to silence or put devices away when they interfere with instruction, safety, privacy, or other participants.

Reasonable exceptions may be made when a device is needed for:

  • Medical purposes

  • Accessibility

  • Emergency communication

  • A program activity

25. Photography and Recording

Trinity Veda Wellness will not rely upon participation in a youth program as automatic permission to use a child's image for marketing purposes.

Photography, video recording, testimonials, or promotional use involving minors may require separate parent or guardian authorization.

Parents and guardians may decline optional media authorization without affecting a child's general eligibility for a program, unless photography or recording is an essential and clearly disclosed part of the specific program.

Participants and families should not photograph or record other minors without appropriate authorization.

26. Social Media and Youth Privacy

Trinity Veda Wellness seeks to protect the privacy of youth participants when using social media.

When youth photographs, artwork, testimonials, or other identifying content are used publicly, appropriate parent or guardian permission will be obtained when required.

Trinity Veda Wellness will seek to avoid unnecessarily publishing sensitive information about youth participants.

27. Virtual Youth Programs

Virtual youth programs may be offered through Zoom or another designated online platform.

Parents and guardians are responsible for:

  • Providing an appropriate device and internet connection

  • Ensuring that the participant joins the correct session

  • Providing an appropriate environment for participation

  • Ensuring adequate physical space for movement activities

  • Following applicable supervision requirements

  • Protecting login information

  • Avoiding unauthorized recording

Parents should consider the child's age, maturity, and individual needs when determining the appropriate level of adult supervision during virtual participation.

28. Virtual Class Privacy

Participants should not:

  • Record virtual sessions without permission

  • Share private meeting links

  • Post screenshots containing other minors

  • Share another participant's personal information

  • Allow an unauthorized individual to disrupt a class

Trinity Veda Wellness may remove a participant or unauthorized individual from an online session when necessary to protect privacy, safety, or instruction.

29. One-to-One Virtual Services With Minors

For individual virtual sessions involving a minor, Trinity Veda Wellness may establish additional parent or guardian participation, consent, visibility, or availability requirements depending upon the participant's age and the service involved.

Parents and guardians will be informed of applicable expectations during registration.

30. Communication With Minors

Administrative communications regarding registration, payment, scheduling, cancellation, significant behavioral concerns, or program participation should generally involve the parent or guardian.

Age-appropriate instructional communication may occur directly with youth participants during a program.

Trinity Veda Wellness seeks to maintain professional boundaries in communications with minors.

Personal or private communication unrelated to legitimate program purposes is not appropriate.

31. Parent and Guardian Communication

Parents and guardians are encouraged to communicate concerns involving:

  • Safety

  • Accessibility

  • Allergies

  • Participation limitations

  • Program expectations

  • Behavior

  • Scheduling

  • Pickup arrangements

  • Significant changes affecting participation

Sensitive information should be communicated through the designated secure platform when available rather than through a public website contact form.

32. Confidentiality and Privacy

Trinity Veda Wellness seeks to handle youth participant information responsibly.

Information will generally be limited to what is reasonably necessary for:

  • Registration

  • Participation

  • Safety

  • Administration

  • Communication

  • Program operations

  • Legal or recordkeeping responsibilities

Separate privacy and consent documents may apply to registered participants.

33. Safeguarding Concerns

The safety of youth participants is important to Trinity Veda Wellness.

Concerns involving suspected abuse, neglect, exploitation, grooming, inappropriate adult behavior, or other significant threats to a child's safety should be taken seriously.

Trinity Veda Wellness will respond to credible safety concerns in accordance with applicable legal obligations and the circumstances presented.

Nothing in this policy guarantees confidentiality when disclosure is required by law or reasonably necessary to address an immediate safety concern.

34. Weapons, Drugs, Alcohol, and Dangerous Items

Youth participants may not possess or use:

  • Weapons

  • Illegal drugs

  • Alcohol

  • Tobacco or nicotine products

  • Dangerous objects

  • Other prohibited substances or materials

during Trinity Veda Wellness youth programs.

A participant may possess medically necessary items when appropriate and consistent with program arrangements.

Serious safety violations may result in immediate removal and contact with a parent, guardian, facility staff, emergency personnel, or law enforcement when circumstances warrant.

35. Transportation

Unless expressly stated in writing for a particular program, Trinity Veda Wellness does not provide transportation for youth participants.

Parents and guardians are responsible for transportation to and from program locations.

Any separately arranged field trip or transportation activity will have additional terms, permissions, and safety requirements when applicable.

36. Third-Party Facilities

Some Trinity Veda Wellness programs may take place at:

  • Community centers

  • Studios

  • Educational facilities

  • Rented spaces

  • Event venues

  • Other third-party locations

Participants and families must comply with reasonable rules established by the host facility.

Third-party facilities may have their own:

  • Entry requirements

  • Safety procedures

  • Accessibility limitations

  • Emergency procedures

  • Conduct rules

  • Photography policies

Trinity Veda Wellness does not control every aspect of an independent facility's operations.

37. Program Changes and Cancellations

Youth program schedules, instructors, locations, formats, or activities may occasionally change.

When reasonably possible, Trinity Veda Wellness will communicate significant changes to the parent or guardian associated with the registration.

Cancellation and refund matters are governed by the Trinity Veda Wellness Cancellation & Refund Policy and any program-specific registration terms.

38. Arizona Empowerment Scholarship Account (ESA)

Some Trinity Veda Wellness youth educational programs may be eligible for payment using Arizona Empowerment Scholarship Account funds when the particular service satisfies applicable ESA requirements.

The availability of ESA payment does not mean that every Trinity Veda Wellness youth service automatically qualifies as an allowable ESA expense.

Parents and guardians remain responsible for reviewing current Arizona ESA requirements and determining whether a particular purchase is eligible.

Trinity Veda Wellness does not guarantee:

  • ESA eligibility

  • ClassWallet approval

  • Arizona Department of Education approval

  • Reimbursement

  • Approval of a particular educational expense

ESA transactions and any related refunds will be processed according to applicable Arizona ESA and ClassWallet requirements.

39. Program Enrollment and Age Ranges

Individual youth programs may establish age or developmental ranges appropriate to the program.

Parents should register participants in the appropriate age group unless an exception has been approved.

Trinity Veda Wellness may determine that another class or program is more suitable based upon:

  • Age

  • Safety

  • Program design

  • Developmental appropriateness

  • Available space

Such decisions are intended to support safe and effective participation and should not be interpreted as a medical or developmental assessment.

40. Removal From a Program

Trinity Veda Wellness reserves the right to remove or discontinue participation when reasonably necessary because of:

  • Significant safety concerns

  • Physical aggression

  • Serious bullying or harassment

  • Repeated disregard of safety instructions

  • Severe disruption

  • Threatening behavior

  • Unauthorized recording

  • Repeated violation of program rules

  • Circumstances that make continued participation unsafe

When reasonably appropriate, a parent or guardian will be contacted before permanent removal.

Refund eligibility following removal will depend upon the circumstances and the applicable Cancellation & Refund Policy.

41. Parent or Guardian Responsibilities

By enrolling a minor in a Trinity Veda Wellness program, the parent or guardian is responsible for:

  • Providing accurate registration information

  • Completing required documents

  • Disclosing information relevant to safe participation

  • Reviewing program requirements

  • Ensuring timely arrival and pickup

  • Providing required supplies

  • Following facility and program rules

  • Maintaining current emergency contact information

  • Communicating relevant changes

  • Reviewing applicable financial and cancellation policies

42. Youth Participant Responsibilities

Youth participants are expected, according to their age and developmental ability, to:

  • Participate respectfully

  • Follow safety instructions

  • Respect physical boundaries

  • Respect other participants

  • Use equipment appropriately

  • Communicate when an activity causes discomfort

  • Ask for help when needed

  • Follow reasonable program rules

43. Individual Outcomes

Every youth participant is different.

Trinity Veda Wellness does not guarantee specific:

  • Health outcomes

  • Behavioral outcomes

  • Academic outcomes

  • Athletic results

  • Emotional outcomes

  • Flexibility improvements

  • Strength improvements

  • Confidence changes

  • Stress reductions

  • Other individual results

Program descriptions discuss educational goals and potential benefits rather than guaranteed outcomes.

44. Relationship to Other Trinity Veda Wellness Policies

This Youth Programs Policy should be read together with applicable Trinity Veda Wellness policies and agreements, including:

45. Changes to This Policy

Trinity Veda Wellness may update this Youth Programs Policy as programs, safety practices, facilities, technology, or applicable requirements change.

The effective date at the beginning of this policy identifies the current version.
